Scope
The Library of Parliament (the “Library”) respects your privacy and the confidentiality of your personal information throughout the staffing process, starting from the time you apply for a position through our career portal, continuing while we gather information about you from your references and previous employers, and during the security clearance process.
Personal information collected
The Library collects personal information from you during the staffing process, such as your:
- name;
- contact information;
- employment history;
- education information;
- employment equity information;
- citizenship status;
- official language proficiency; and
- assessments/test results.
Use and sharing of personal information
The Library uses the personal information collected from you for staffing purposes at the Library only, and it has put measures in place to protect the security of your personal information.
Only designated employees of the Library, including your potential future manager and authorized employees in human resources and in information technology, have access to your personal information. Information about your identity is used for statistical purposes in our corporate diversity, equity and inclusion programs.
Your personal information may be shared with the third-party service provider of our career portal, SmartRecruiters, to the extent it needs this information to provide support. To learn more about how SmartRecruiters may use your information, please refer to its privacy policy on its website at https://www.smartrecruiters.com/. Your personal information is not disclosed to other third parties, except as required by law.
If you accept employment at the Library, some of the personal information already collected about you is retained as part of your employee record. If you are not offered a position or you do not accept an offer, the Library may retain your personal information for system administration purposes, potential future positions or internal purposes, such as analytics; however, you will not be considered for any new positions without your knowledge and consent.
Retention, correction and deletion of personal information
Your personal information is retained and disposed of in accordance with Library policies and applicable laws and regulations.
At any time during the staffing process, you can submit a request to the Library to correct, update or delete inaccurate or incomplete personal information you have provided through the career portal. Requests must be submitted by email to lopcareers-carrieresbdp@parl.gc.ca and contain the details the Library needs to locate the personal information and confirm that you are authorized to correct, update or delete it.
Once this is confirmed, permission to correct, update or delete the information is granted within a reasonable timeframe.
